Use this checklist before export to validate completeness, compliance, clarity, and tone. It is designed to support a live response workflow, not just post-hoc editing.

Four quality checks before export
Completeness
Every question and sub-question is answered, referenced attachments are accounted for, and no required evidence is silently missing.
Compliance
Claims match approved sources, required formats are met, and unresolved gaps are surfaced before the package leaves review.
Clarity
Answers are concise, easy to scan, and consistent in terminology so buyers do not have to decode internal language.
Tone
Language is professional, accurate, and free of vague marketing overstatement or unsupported certainty.
Review triggers that usually catch risk
- Answers that sound generic enough to fit any bidder.
- Statements with no visible owner or source backing them.
- Response sections that changed tone or terminology midway through the document.
- Exports that still contain placeholders, comments, or internal drafting notes.
Best used in the workflow
This checklist works best after a first draft exists and before final packaging. It is a handoff tool between drafting, review, and export, not a substitute for SME sign-off.
Pair this checklist with the compliance checklist and the bid response software page.
